Introduction
Hey lovebirds! Planning a wedding is all about making things easier but we don't want everything to be generic, right?
So, if you’re looking for a simple yet elegant way to handle RSVPs without creating a full RSVP website, I’ve got you covered.
Today, I’m walking you through a little trick to create a QR code that lets guests RSVP via email—directly from their phones!
Why Use a QR Code for Wedding Invites or RSVPs?
Adding a QR code to your wedding invitations is a quick, seamless way for your guests to respond.
It’s tech-savvy (without being over-complicated), saves on paper, and lets you keep all your RSVPs in one place—your inbox.
Plus, it’s super customisable, meaning you can add a personal touch without the need for a whole website!
Step 1: Creating a Mailto Link
A “Mailto” link is a link that, when clicked, opens up an email draft pre-filled with the recipient’s email address.
To this, you can also add a subject line and even parts of the message body. Here’s how to set it up!
Start with your email address:
Begin with mailto: followed by your email. For example:
Replace your-email@example.com with the address where you’d like to receive RSVPs.
Add a custom subject line:
To make it easy to identify RSVP emails, add a subject line like this:
?subject=RSVP for [Your Names' Wedding]
What you add after the = sign will appear in the subject line of each RSVP email, so you know right away it’s from a wedding guest.
Just swap [Your Names' Wedding] with your names, for example, RSVP for Emma & Liam’s Wedding.
Add the body of the email:
You can pre-fill the message body with questions for guests to answer. Here’s a sample layout:
&body=Hello!%0D%0A%0D%0AI would like to RSVP for [Your Names' Wedding].%0D%0A%0D%0A- Name(s): [Please enter your name]%0D%0A- Attendance: [Accept/Decline]%0D%0A- Dietary Requirements: [Please specify any dietary needs]%0D%0A%0D%0AThank you!
What the heck is %0D%0A
These are line break codes in URL format. %0D%0A creates a new line in the email, making it easier to read and neatly organised.
Think of %0D%0A as hitting “Enter” on a keyboard to start a new line.
Let’s break that down:
Hello!%0D%0A%0D%0A – This starts the message with a greeting and a couple of line breaks for spacing.
RSVP message – This line explains that the guest is responding to your wedding invitation.
Prompts – Guests can easily fill in details like their names, attendance status, and any dietary requirements. Each %0D%0A adds a new line, keeping things clean and readable.
Altogether, your link will look something like this:
mailto:your-email@example.com?subject=RSVP for Emma & Liam's Wedding&body=Hello!%0D%0A%0D%0AI would like to RSVP for Emma & Liam's Wedding.%0D%0A%0D%0A- Name(s): [Please enter your name]%0D%0A- Attendance: [Accept/Decline]%0D%0A- Dietary Requirements: [Please specify any dietary needs]%0D%0A%0D%0AThank you!
And when clicked, it will look something like this:
Here’s the example Mailto link again with explanations for each section:
mailto:your-email@example.com?subject=RSVP for [Your Names' Wedding]&body=Hello!%0D%0A%0D%0AI would like to RSVP for [Your Names' Wedding].%0D%0A%0D%0A- Name(s): [Please enter your name]%0D%0A- Attendance: [Accept/Decline]%0D%0A- Dietary Requirements: [Please specify any dietary needs]%0D%0A%0D%0AThank you!
mailto:your-email@example.com – Your email address, where the response will be sent.
?subject=RSVP for [Your Names' Wedding] – Custom subject line that helps you identify the RSVP emails quickly.
&body= – Starts the main body of the email.
Hello!%0D%0A%0D%0A – Adds a greeting and two line breaks to space things out.
I would like to RSVP for [Your Names' Wedding].%0D%0A%0D%0A – Intro text, followed by line breaks to separate sections.
- Name(s): [Please enter your name]%0D%0A – Prompts the guest to enter their name(s), then adds a new line.
- Attendance: [Accept/Decline]%0D%0A – Prompts for ‘Accept’ or ‘Decline’ and then adds a new line.
- Dietary Requirements: [Please specify any dietary needs]%0D%0A%0D%0A – Space for dietary needs, followed by two line breaks for a closing.
Thank you! – This is the final message to wrap up the email body.
Step 2: Turn Your Mailto Link into a QR Code
Now that your Mailto link is ready, it’s time to turn it into a QR code. Here’s how:
Use a QR Code Generator: Go to any free QR code generator online (QR Code Generator or QR Code Monkey are popular options) and paste your Mailto link into the URL field.
Customise Your QR Code: Some generators let you change the colour or add icons. Feel free to personalise it to match your wedding theme!
Download and Add to Your Invites: Once your QR code is ready, download it and add it to your printed invitations or digital invites. Guests can now scan it with their phones and get an instant email draft with everything ready to go!
Step 3: Test It Out
Before sending it out, make sure to test your QR code by scanning it with your phone and seeing if the email draft opens up as expected. Adjust any details if needed—this will give you peace of mind and make sure your guests have a smooth experience.
Why This Works
Using a QR code for RSVPs via email is a modern solution that doesn’t require a dedicated website or complex RSVP software. It’s efficient, saves time, and adds a touch of fun tech to your invitations. Plus, it’s just one more way to make the process easy for your guests—especially those who might not be as tech-savvy.
A Few Tips for Making It Extra Special
Add a Personal Message: Write a little note next to the QR code like, “Scan to RSVP – We can’t wait to celebrate with you!”
Encourage Guests to Reach Out: Mention that they’re welcome to email or text you with any extra questions. It’s all about creating an open, friendly vibe.
Include Your Names on the RSVP: This helps make sure there’s no confusion, especially if some guests may not recognise your email address right away.
